We are seeking a sharp, highly organized Medical Front Office & Patient Coordinator to manage the front lines of our high-volume urgent care clinic. This is a fast-paced medical operations position requiring rapid problem-solving and administrative precision. You will serve as the coordinator of patient flow—managing high-volume intake, executing health insurance verification, and handling digital patient registration with speed and absolute accuracy.

The ideal candidate possesses strong healthcare administrative acumen, exceptional multitasking skills under pressure, and a professional, patient-first presence.

Key Responsibilities

Patient Intake & Flow Management:

  • Manage the digital check-in and queuing system to optimize patient flow and minimize lobby wait times.

  • Triage front-desk inquiries efficiently, identifying high-acuity patient situations that require immediate clinical escalation.

  • Register patients with 100% accuracy in demographic and medical entry.

Insurance Verification & Financial Responsibility:

  • Perform real-time eligibility verification for a wide matrix of health insurance plans.

  • Calculate and confidently collect deductibles, copays, and self-pay balances at the point of service.

  • Ensure accurate scanning and indexing of insurance cards, IDs, and required medical consent forms into the EHR.

Administrative Operations:

  • Route high-volume phone lines, coordinating seamlessly with the back-office clinical team regarding room availability and patient status.

  • Maintain a pristine, organized, and compliant front office environment.

Qualifications & Requirements

  • Experience: Minimum 1–2 years of dedicated medical front office, patient registration, or medical billing experience (Urgent Care or Emergency Department background is highly preferred).

  • Insurance Competency: Strong working knowledge of health insurance terminology, copay structures, and real-time eligibility checks.

  • Technical Skills: Advanced proficiency with modern Electronic Health Record (EHR) platforms and practice management software.

  • Attributes: High emotional intelligence, exceptional verbal communication, and a calm demeanor in a high-velocity healthcare environment.
